What Really Happens Behind a Hotel Distribution Connection?

When a hotel room appears in a search result, a lot has already happened behind the scenes.

Availability, rates, rooms, policies and content need to move between different systems, be understood correctly and ultimately support a successful booking.

For this edition of Travelgate Academy, we're going back to the fundamentals: how does B2B hotel distribution connectivity actually work?

1. Pull, Push or Hybrid: How Does Hotel Data Move?

It starts with a fundamental question: where does the data come from?

In a Pull connection, Travelgate requests availability and pricing from the Seller in real time when the Buyer searches.

With Push Standard, rates, availability and product information are loaded into Travelgate Inventory, allowing searches to be processed using locally stored data without querying the Seller for every search request.

Push Hybrid combines both approaches: information can be distributed through Inventory while, depending on the connection configuration, key details such as availability, pricing or cancellation conditions may still be validated with the Seller during the booking flow.

Different architectures, one objective: move hotel supply to demand efficiently and reliably.

2. What Are We Actually Distributing?

A hotel connection is about much more than sending a price.

Hotel distribution involves properties, rooms, rates, meal plans, availability, occupancy, restrictions and cancellation policies — all working together to create a bookable product.

These elements need to remain consistent across systems. A room may be available for certain dates but subject to occupancy limits, minimum-stay requirements or specific cancellation conditions.

Rates can also depend on one another. Derived Rates, for example, allow a rate to inherit configuration from a base rate while applying specific conditions, supplements or discounts.

This helps simplify rate management as distribution grows.

3. How Do Different Systems Understand Each Other?

Moving data is only part of the challenge.

Different Sellers can use different codes and structures to describe hotels and their products. At scale, managing those differences creates significant technical complexity.

This is where mapping and standardization become essential.

Mapping helps identify corresponding hotel products across different systems, reducing inconsistencies and repetitive work.

FastX introduces standardized hotel identifiers within the Travelgate ecosystem, helping simplify hotel identification and mapping across connections.

Rather than replacing every supplier code or standardizing every type of distribution data, FastX supports a more consistent approach to identifying hotel supply.

4. A Bookable Hotel Also Needs Good Content

Connectivity can tell a Buyer that a hotel is available for €175.

But what hotel is it? Where is it located? What facilities does it offer? What does it look like?

That is where FastX Content powered by AO comes in.

It complements connectivity with structured hotel-level information, including property details, location, contact information, amenities, descriptions and qualified images.

By making this information available in a consistent format, FastX Content helps Buyers understand and present hotel products more effectively.

The distinction is important:

Connectivity makes hotel inventory bookable. Content helps Buyers understand and present what they're selling.

5. From Search to Quote to Book

Once the connection and product are ready, we reach the booking flow.

For Buyers using HotelX, three operations are fundamental:

Search → Quote → Book

Search retrieves available options according to the traveller's criteria, such as destination, dates and occupancy.

Once an option is selected, Quote retrieves updated information and checks relevant booking conditions, including price and cancellation policies.

Finally, Book attempts to create the reservation and returns the booking result.

A successful Search or Quote does not guarantee a confirmed reservation. Availability, prices and conditions can change before the booking is completed.

What looks like a simple Book now action therefore depends on several systems successfully communicating behind the scenes.

6. Going Live Is Only the Beginning

Once a connection is live, the next challenge is understanding how well it performs.

Travelgate provides different levels of visibility:

Insights helps teams understand business and booking performance across clients, suppliers, markets and destinations.

Stats provides operational visibility into traffic, errors, response times and connectivity performance.

Logging allows technical teams to investigate individual transactions and troubleshoot specific issues.

Together, they answer three different questions:

Insights → What business are we generating?

Stats → How is the connection performing?

Logging → What happened in this transaction?

This visibility helps Partners identify opportunities for improvement, investigate technical issues and make better-informed decisions about their connections.

From Connectivity to Performance

Behind every hotel booking is an interconnected distribution chain:

Connectivity → Inventory → Standardization → Content → Search → Quote → Book → Monitoring

Each component addresses a different part of the same challenge: moving hotel supply efficiently from Sellers to Buyers.

These elements do not always operate in a strictly linear sequence. Their interactions depend on the connection model, technical configuration and booking process.

At Travelgate, connecting both sides of the ecosystem provides the foundation. But the real opportunity comes from understanding, measuring and continuously improving those connections.

Because in hotel distribution, being connected is only the beginning.
